Personalize the templates one time
Every template below uses [square-bracket placeholders]. Fill these in once for the property, save your copy, and each message becomes paste-ready. The most common embarrassment in guest messaging is sending a template with a placeholder still in it, so this phase exists to prevent exactly that.
- Property display name you use with guests
- Check-in time and check-out time
- Full address and access method (code, lockbox, key)
- Wifi network name and password
- Quiet hours and the maximum guest count from the listing
- Your name and how you sign off (your name, or the owner's business name)
- The owner contact you escalate to, and when
Do not skip this
Before sending any message, scan it once for a leftover [placeholder]. One un-replaced bracket is the fastest way to look unprofessional to a guest and an owner.
